Supplier invoices

Supplier invoices, read and coded.

PDFs, scans and phone photos go in. A worksheet comes out with the supplier, invoice number, date and VAT filled in, and, once you have set up your accounts, a suggested account.

Supplier invoices, from setup to Sage. 1 min 53.

How it works

Set it up once, then drop the month on.

  1. Step 1

    Set up your accounts

Paste the chart of accounts, named exactly as in Sage. Then add rules: if the supplier's name contains this text, suggest this account. Rules can cover the whole practice or one client.

  2. Step 2

    Drop the month's invoices on

PDFs, scans and phone photos. A scanned page counts as one invoice, so a nine-page scan is nine invoices.

  3. Step 3

    Download the worksheet

An Excel sheet with a status on every row, and control totals at the bottom to check against Sage's batch total.

The worksheet

A status on every row, so nothing goes missing quietly.

Illustration. Made-up suppliers and figures.

The checks

Flagged, not guessed.

  • Every invoice is checked against its own arithmetic: exclusive plus VAT must equal inclusive.
  • Scans and photos are read twice. A figure is kept only where both readings agree.
  • Anything that does not hold is marked Check, with the reason on the row.
  • A supplier matching no rule comes back with the account blank, not a guess.

What it does not do

It does not post into Sage. Your clerk captures each invoice into Sage from the worksheet. Presies does the reading, the sums and the coding.

What it costs

It is in the subscription. One credit an invoice, and an invoice it could not read costs nothing.

Try it on a month of your clients' invoices.
